JOB DESCRIPTION:
Primary Responsibilities:
- Manage calendaring tasks, including docketing court deadlines and events, scheduling depositions (both virtual and in-person), and arranging conference calls/video conferences with accuracy and efficiency.
- Coordinate travel arrangements for attorneys and staff.
- Create and submit expense reports using the Firm's accounting system (Concur).
- Maintain and update contact information in the Firm's marketing CRM system.
- Assist with profiling emails using the Firm's electronic document management system (NetDocs).
- Prepare shell documents using pre-established templates.
- Open new client and matter files using Firm software, as required.
- Collaborate with other Associate Coordinators and Practice Assistants to ensure coverage during PTO and leaves.
- Perform other tasks as assigned to support the team.
Required Qualifications:
- Minimum of three years of experience within a law firm.
- High school diploma required; college degree preferred.
- Proven experience in litigation support.
- Familiarity with document management systems.
- Knowledge of e-filing procedures for New Jersey is a plus.
- Strong technical proficiency and adaptability.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel).
- Excellent organizational skills with the ability to prioritize tasks in a fast-paced environment.
- Outstanding written and verbal communication skills.
- Ability to understand and apply firm policies, procedures, formats, and specialized terminology.
- Knowledge of medical terminology is preferred.
- Professional demeanor when interacting with clients, staff, and other professionals.
- Strong work ethic and dependability.
- Ability to anticipate potential issues and solve problems proactively.
- Flexibility to work overtime, when necessary.
